[Announcement] Important: Implementation of Multi-Factor Authentication (MFA) for Email Security
Hey Staff!
We are writing to inform you about an important update regarding the security of our email system.
In our ongoing commitment to safeguarding our digital infrastructure and protecting sensitive company information, we are implementing Multi-Factor Authentication (MFA) for all employee and volunteer email accounts. MFA adds an extra layer of security by requiring multiple forms of verification to access your email account, thus significantly reducing the risk of unauthorized access and potential security breaches.
After careful consideration, we have decided to stage the rollout of MFA to ensure a smooth transition while prioritizing the security of our most at-risk accounts. Here's the rollout plan:
Starting immediately, employees identified as at-risk users, including those with elevated access privileges or handling sensitive information, will be required to set up MFA for their email accounts. These individuals will receive specific instructions from our IT department on how to complete the setup process promptly.
By Thursday March 28, all remaining employees and volunteers will be required to enable MFA for their email accounts.
This additional security measure will enhance the protection of our communication channels and confidential data, aligning with industry best practices and regulatory standards.
Here's what you need to know about the MFA implementation:
1. **What is Multi-Factor Authentication (MFA)?**
MFA is a security process that requires users to provide two or more verification factors to access their accounts. These factors typically include something you know (like a password), something you have (such as a mobile device), or something you are (biometric data like fingerprints or facial recognition).
2. **How will it work?**
After logging in with your usual credentials (username and password), you will be prompted to provide a second form of verification. This could be a code sent to your mobile device via SMS, a token generated by an authenticator app, or another method depending on your preference and the options provided by our IT team.
3. **What do you need to do?**
You will receive detailed instructions from our IT department on how to set up MFA for your email account. Please follow these instructions promptly to ensure uninterrupted access to your email.
4. **Support and Assistance:**
If you encounter any difficulties or have questions about the MFA setup process, please don't hesitate to reach out to our IT support team. They will be available to assist you and provide guidance throughout the implementation process.
We understand that adapting to new security measures may require some adjustments, but we believe that the enhanced protection provided by MFA is essential for safeguarding our data and maintaining a secure working environment for everyone.
Thank you for your cooperation and understanding as we implement these important security enhancements. Your commitment to maintaining the integrity of our digital systems is greatly appreciated.
Thank you!
